Shipping Coordinator

Job Description

Under the direction of the Shipping Supervisor, the Shipping Coordinator provides guidance and direction for the Shipping department, supporting efficient and accurate operations in shipping, receiving inventory control, and scheduling while maintaining quality, safety, and environmental standards.

Essential Duties and Responsibilities

  1. Receives incoming freight and enters receiving information into the ERP system to maintain efficient inventory control.
  2. Assists in prioritizing daily tasks, coordinating workflow, and ensuring work meets quality and procedural standards through collaboration with team members.
  3. Communicates promptly with customer service regarding potential shipment delays.
  4. Collaborates with managers and supervisors to ensure coordination of shipments, inventory management and quality assurance.
  5. Supports the review and improvement of procedures to ensure timely, accurate, and efficient processing of shipping and receiving functions.
  6. Works with department representatives to analyze shipping needs to determine the best method of shipment (packaging and transportation).
  7. Maintains and updates all shipping records and ensures assigned warehouse zones are organized.
  8. Performs weekly ship inventory checks for Kan-Ban (VMI) and MTO to verify quantity accuracy.
  9. Escalates significant product shortages for approval prior to shipment, as required.
  10. Organizes packers daily and creates packing plans for the following day.
  11. Supports a well-trained and efficient team by sharing knowledge, promoting safe work practices, and helping ensure consistency in shipping processes. Acts as a positive example of professionalism, safety, and teamwork.
  12. Notifies receiving locations (e.g., other facilities) daily on expected deliveries. Coordinates shuttles between company locations as required.

Performs other duties as requested. Supports other company shipping departments as needed.

While performing the duties of this job, the employee is regularly required to stand and walk throughout the workday. The employee is frequently required to sit; talk or hear; and use hands to handle or operate tools, equipment, and materials. Occasional bending, stooping, or reaching above shoulder height is required.

The position involves frequent lifting, carrying, pushing, and pulling of materials and products. The employee must be able to:

  • Lift and carry containers weighing up to 60 pounds from floor level to waist height and from cart to shelves at heights of 33 to 57 inches.
  • Repetitively lift 10 to 50 pounds at various ranges including floor to waist and waist to waist levels.
  • Carry loads of 25 to 60 pounds for distances of approximately 5 feet.
  • Push and pull equipment such as pallet jacks with forces up to 100 pounds over a distance of 25 feet.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

 

Work Environment

May work outside in all weather conditions; mainly works indoors in warehouse settings, which are often cooler or hotter than traditional offices. The noise level is often high due to use of various equipment.

Personal protective equipment including hearing protection, safety eyewear, and safety footwear are to be always worn while performing the daily responsibilities of this position.

 

Job Requirements

Education and Experience Requirements

  • High school diploma or equivalent
  • Degree or certification in logistics, supply chain or related field preferred or equivalent experience.
  • Previous experience in a shipping, logistics, and warehouse coordination role required (5 years).
  • Demonstrated experience leading daily activities or coordinating work within a shipping environment
  • Experience collaborating across departments to meet schedules and customer requirements
